Resignation due to poor management or disappointment with the general atmosphere and work culture of the company is fairly common.

Usually, when we talk about poor management it is usually because the atmosphere, goals, and values of the company do not align with that of the individual in spite of the efforts made to assimilate and accommodate these differences. 

When there are no other steps to be taken, and the employee remains dissatisfied and unhappy with their place for work, resignation is an option. 

The Balance Careers mentions that irrespective of how disatised you are or how unhappy you are with the poor management it is very important that you do not word your resignation letters negatively.

This is crucial so that you do not ruin your reputation with an aggressive letter that could hurt your future prospects of employment. Leaving this on a neutral ground is important so that you can maintain your network of connections that could help your career. 

A letter of resignation is a formal letter that documents and informs your employer about your decision to resign and no longer work for them. 

The letter was originally in the form of handwritten or typed out letters that were mailed to the HR manager or your employer; however, today most employees email their employers and HR managers of their notice.

It is advised that you hand in your letters at least two weeks before the date of departure or the date you wish to stop coming to work as it gives your employers enough time to look for a replacement and also allows for transitions to take place. 

Let us look at a few things that are crucial aspects of writing a resignation letter:

Sender and Receivers details

The first thing that you include in your letter are the details of the receiver; that is, the name and position of your HR manager followed by the address of your workplace.

In some letters, you include the name and address of the sender first followed by that of the name and position of your HR manager followed by the address of your workplace.

Introduction and notice of resignation

The next element is the body of the letter which begins with your addressing the receiver of the letter and clearing putting across the intent of the letter and your notice of resignation. 

In this part, you can also include the period of your notice that you will be serving as per your employment contract.

Example:

I am writing to inform you of my resignation as Staff Nurse at Easy Days Nursing Home, effective two weeks from today. My last day of work will be on 30th Oct’ 2021. (indeed)

Reason of resignation

You also need to add in the reason for your resignation. For this particular case, you might be tempted to go all out and call out every little cause of conflict that arose during your time at the company. 

It is advisable that your reason be neutral and something that is unrelated to your experience at work so as to maintain a positive relationship with your employer.

However, if you believe that you should have your say and that it would be part of your responsibility to yourself and to other employees who work with you to highlight the challenges that disrupted your performance and experience at the work space, here are a few things to keep in mind:

  • Be professional in your writing
  • Do not be overly emotional
  • Do not use threats
  • Do not use names
  • Write in a tone of distant observation rather than taking a victim stance. 

Instead what you can do is comment on the atmosphere, the problems in various communication and processes, the work culture, and the kind of relationships within the company that disrupted your workflow and well being, and other reasons that have convinced you to leave your job because it does not match your personality.

While I have enjoyed discovering practical aspects of the banking sector, I have reservations regarding a few practices that are essential to the operations of the industry. I have tried to adapt to the industry but have found myself unable to conform to the requirements of my role in the organisation.

As you are aware there has been conflict between myself and my immediate supervisor and this difficulty has yet to be resolved. Because of the continuing distress the continued conflict has caused me and the effect it has had on my work I have elected to resign from my position effective one week from today Friday September 26 2014.

A statement of gratitude

Resignation letters are the last professional impression an employee can make on their employers and colleagues, so it is advised that the letter remains neutral and warm while highlighting positive experiences you have had while working for them. 

A warm resignation letter also ensures that you are able to maintain a positive relationship with your former place of work just in case you wish to work with them again.

Working at Easy Days has been a rewarding experience and I have enjoyed my time working with you. I learned a great deal about working successfully with a team. Transition details

To maintain your professional attitude at work, you should include what you will be doing to help ease the transition of roles with your successor during the notice period as well as contact information.

This sample is more direct and clearly states the exact reason why someone is quitting their job. 

The sample does not blame anyone in particular, rather it makes a comment on the general atmosphere and direction of the company versus that of the employee which is a great way to express dissatisfaction due to poor management.

This sample resignation letter puts across very direct and transparent opinions and reasonings of the employee who has experienced unsatisfactory working conditions. 

The resignation letter also highlights an important element which is the fact that the employee has tried to resolve these working conditions many times independently without bringing HR into the mix but finds this to be the only step of action left for them.
