How to write a Resignation letter before the end of the contract.
Resigning from one’s place of work due to a sudden change in circumstances due to which you are unable to serve the duration of your contract can happen to anyone.
To be able to express your regret and gratitude while also remaining professional and cordial in the resignation process requires you to hand in a formal resignation letter.
A letter of resignation is a formal letter that documents and informs your employer about your decision to resign and no longer work for them, and it is a final effort to express your decision to leave your job.
According to Erin Schreiner for bizFluent, your employee contract might stipulate that you might need to pay penalties for existing your contract early as well as forfeit your right to any bonuses.
On this same note, Alyson Doyle for The Balance Careers writes that there are a few things for you to keep in mind when you need to quit without being able to serve your contract period in full.
- You need to check your contract and review the terms and conditions related to termination of employment because you are legally bound to do so.
- If your conditions for leaving your job are not in compliance you will have to consult with an employment attorney and your manager or employer.
- There will be issues related to your severance pay and you will be liable for pay severance and reversal of accumulated benefits in some cases due to non-compliance. So clearing all these issues with your supervisors and mentioning this in your letter is important.
- While it is not required that you share any information related to departure, putting your resignation in formal writing can be a cordial way to show your respect for the company you worked in while remaining professional.
Let us look at a few things that are crucial aspects of writing a resignation letter on medical grounds:
Sender and Receivers details
The first thing that you include in your letter are the details of the receiver; that is, the name and position of your HR manager followed by the address of your workplace.
Example:
Christine D’souza
Easy Days Nursing Home
44 Madhya Marg
New Delhi, 437097 (indeed)
In some letters, you include the name and address of the sender first followed by that of the name and position of your HR manager followed by the address of your workplace.
Example:
Susan Holmes Nurse Practitioner
987 Crazy Legs Avenue, Apt. 34
Los Angeles, CA, 91054
February 17, 2019
Linda Lester
HR Manager
XYZ Hospital
90000 Health Care Road
Los Angeles, CA, 91054 (RequestLetters)
Introduction and notice of resignation
The next element is the body of the letter which begins with your addressing the receiver of the letter and clearing putting across the intent of the letter and your notice of resignation.
In this part, you can also include the period of your notice that you will be serving as per your employment contract.
Example:
I am writing to inform you of my resignation as Staff Nurse at Easy Days Nursing Home, effective two weeks from today. My last day of work will be on 30th Oct’ 2021. (indeed)
Reason of resignation
When it comes to disclosing the reason for your departure on medical grounds, you are not required to share every detail of your medical condition if you do not want to. However, if you are comfortable with it then you can mention how the condition is affecting your ability to work and perform in your role.
Example:
Due to my family’s relocation to another state, I am afraid I will not longer be able to continue working for your esteemed company.
Example:
I was recently diagnosed with stage 2 lung cancer. IThe recent chemotherapy that I went through, however, made me feel that I can no longer handle the hectic schedule or meet the deadlines given to me. If I continue working, I will not only be unfair to myself but to the company as well. (CoverLettersandResume)
Employee Contract terms and condition
You need to check your contract and review the terms and conditions related to termination of employment because you are legally bound to do so.
There might be issues related to your severance pay and you will be liable for pay severance and reversal of accumulated benefits in some cases due to non-compliance. So clearing all these issues with your supervisors and mentioning this in your letter is important.
Example:
I understand that there are still a few months before my contract ends but personal circumstances require that I leave my position at this company by the end of this week and I am willing to bear the cost of not meeting employee contract standards.
A statement of gratitude
Resignation letters are the last professional impression an employee can make on their employers and colleagues, so it is advised that the letter remains neutral and warm while highlighting positive experiences you have had while working for them.
A warm resignation letter also ensures that you are able to maintain a positive relationship with your former place of work just in case you wish to work with them again.
Example letter:
Working at Easy Days has been a rewarding experience and I have enjoyed my time working with you. I learned a great deal about working successfully with a team. It was an honour to work with such dedicated staff who made Easy Days a place to receive compassionate care. I thank you for the training and opportunity to grow with you in my nursing career. (indeed)
Transition details
To maintain your professional attitude at work, you should include what you will be doing to help ease the transition of roles with your successor during the notice period as well as contact information.
Example:
If you feel it would be helpful, I would be happy to assist with the hiring and training of my successor over the next two weeks. Please contact me if you have questions. My email address is [email protected] and my cell phone number is 9745474523.(indeed)
Signature
Close the letter using polite words and include your contact details.
Example:
Respectfully yours,
Ashwin Mehta
9745474523.(indeed)
