How to write a Resignation letter from the board of trustees.

Writing a resignation letter to resign from the board of trustees is an effective way to communicate to the board of your intentions. 

According to The Balance Careers, like all resignations, in spite of the fact that you are not being compensated for your time, it is important that you are cordial and professional in your resignation from a board of trustees.

The resignation from the board of trustees is generally addressed to the head of the board or the director/chairman of the board of trustees. 

A letter of resignation is a formal letter that documents and informs employers or head of companies about your decision to resign and no longer work for them, and it is a final effort to express your decision to leave your job.  

The letter was originally in the form of handwritten or typed out letters that were mailed to the HR manager or your employer; however, today most people email their notice.

In the case of resigning from a board of trustees, you will have to send across a mailed letter or an email to the head of the board of trustees you are part of. 

While it is not required that you share information related to departure, putting your resignation in formal writing can be a cordial way to show your respect for the board you worked with while remaining professional. 

It is advised that you hand in your letters at least two weeks before the date of departure or the date you wish to stop as it gives the members of the board enough time to look for a replacement and also allows for transitions to take place. 

Let us look at a few things that are crucial aspects of writing a resignation letter on medical grounds:

Sender and Receivers details

The first thing that you include in your letter are the details of the receiver; that is, the name and position followed by the address.

Usually, letters of resignation to the board are often sent to the chairman of the board directly, so you can do that as well as send a copy to HR of the organisation if needed.

Introduction and notice of resignation

The next element is the body of the letter which begins with your addressing the receiver of the letter and clearing putting across the intent of the letter and your notice of resignation. 

In this part, you can also include the period of your notice however for resigning from a board of trustees, you need not serve a notice period. 

Reason of resignation

When it comes to disclosing the reason for your departure, you are not required to share every detail of your resignation. 

However, if you see fit you can clearly mention the reason in a neutral and formal manner.

My family commitments and work schedule have made it impossible to give the board the time it requires to be truly effective in my position. 

A statement of gratitude

Resignation letters are the last professional impression an employee can make on their employers and colleagues, so it is advised that the letter remains neutral and warm while highlighting positive experiences you have had while working for them. 

A warm resignation letter also ensures that you are able to maintain a positive relationship with your former place of work just in case you wish to work with them again.

It has been a pleasure being a part of the Art Foundation board. I am so proud of all we have accomplished in the past five years, and I have no doubt the board will continue these successes in the future.

Transition details

To maintain your professional attitude, you can include that you are available to be part of the process of transitioning your responsibilities on to your successor. 

Example:

I am happy to continue to participate in the committees I am working with, and will also help to catch my replacement up to speed.

You may have some prospects in mind to consider for the position I am leaving, but if you would like my input on a candidate to take my place, please don’t hesitate to ask.

Sign Off

Close the letter using polite words that encourage the further progress and successes of the board and the foundation and include your contact details.

Dear Mike,

As of the date of this letter, I am resigning as a Trustee with the Ely School of Business. While I have enjoyed my time and was looking forward to another term, recent events have made remaining a hard choice. As an alumnus of Ely, I joined the Board with what I thought was a clear understanding of the school’s direction and mission statement. I believe the Board has lost its focus over the last few years.

As everyone knows, I was disconcerted by the Board’s methods in selecting the new president. It felt to me like a buddy system was in place and a choice had been made before a single applicant had been reviewed. I felt our responsibility to lead the selection process as opposed to circumventing it only hurts the Board’s authority and credibility.
