Leaving or resigning from one’s job on good terms is important no matter what the reason- be it because of personal reasons, because of other professional opportunities, or because you were dissatisfied with your current place of work.
One of the ways you can be cordial and professional during this resignation process so that it is ensured that you leave on good terms is through a professional letter of resignation.
A letter of resignation is a formal letter that documents and informs your employer about your decision to resign and no longer work for them, and it is a final effort to express your decision to leave your job.
Brain.B. a Linkedin Optimizer notes that a resignation letter is two things: a legal document and a courtesy.
He notes that usually, a letter of resignation is retained and it leaves you a paper trail, so Brain B stresses that it should serve only to provide a formal statement of your intention to depart from your current job and not a grievance letter.
In fact, most professionals attest to this. Alyson Doyle, an author at the Balance Career notes that,
“…You should always try to leave a job on the best possible terms, regardless of the circumstances surrounding your departure, and expressing yourself sincerely will leave your manager with a positive final impression.”
Adding an explanation as to why you are resigning is not required for most companies, however if you wish to add the reason you can do so.
In the case that you faced conflicts during your time there, the letter should be formal and polite in order to protect your reputation with an aggressive letter that could hurt your future prospects of employment.
Leaving this on a neutral ground is important so that you can maintain your network of connections that could help your career.
It is very important that you express your gratitude for the opportunity and learnings that you have gained during your time there. You can also add your positive experiences to make it more personal.

If you are writing your resignation letter via email, you need not write the senders or receiver’s addresses. However, you should make sure that you put your contact details in the mail.
Introduction and notice of resignation
The next element is the body of the letter which begins with your addressing the receiver of the letter and clearing putting across the intent of the letter and your notice of resignation.
In this part, you can also include the period of your notice that you will be serving as per your employment contract.
