How to write a Resignation letter on medical grounds

Resigning from one’s place of work due to medical reasons and health issues can be a difficult decision to make, however it is important that you are able to clearly put across your intent to resign.

A letter of resignation is a formal letter that documents and informs your employer about your decision to resign and no longer work for them, and it is a final effort to express your decision to leave your job.  

The letter was originally in the form of handwritten or typed out letters that were mailed to the HR manager or your employer; however, today most employees email their employers and HR managers of their notice.

While it is not required that you share any information related to departure, putting your resignation in formal writing can be a cordial way to show your respect for the company you worked in while remaining professional. 

According to Cover Letters and Resume, when it comes to medical issues and grounds, the resignation is often needed to take immediate effect which can be a tricky issue since most companies require the employee to serve a notice period. 

If you have signed an employment contract that requires you to serve this period, train your replacement and complete all works that are under your care, immediate resignation on medical grounds can cost you your severance pay.

In either case, it is important that you mention that you are aware of your terms and conditions as you cordially express your reasons for resigning. You need not explain exactly why if you are reluctant to share the details of your diagnosis. 

The balance Careers mention that you should explore leave benefits under the FMLA laws, to determine if it is possible for you to take leave instead of resign. However, companies will most probably require a doctor’s note in order to determine if you will receive certain benefits.

Let us look at a few things that are crucial aspects of writing a resignation letter on medical grounds:

Sender and Receivers details

The first thing that you include in your letter are the details of the receiver; that is, the name and position of your HR manager followed by the address of your workplace.

Introduction and notice of resignation

The next element is the body of the letter which begins with your addressing the receiver of the letter and clearing putting across the intent of the letter and your notice of resignation. 

In this part, you can also include the period of your notice that you will be serving as per your employment contract.

Example:

I am writing to inform you of my resignation as Staff Nurse at Easy Days Nursing Home, effective two weeks from today. My last day of work will be on 30th Oct’ 2021. (indeed)

Reason of resignation

When it comes to disclosing the reason for your departure on medical grounds, you are not required to share every detail of your medical condition if you do not want to. However, if you are comfortable with it then you can mention how the condition is affecting your ability to work and perform in your role.

A statement of gratitude

Resignation letters are the last professional impression an employee can make on their employers and colleagues, so it is advised that the letter remains neutral and warm while highlighting positive experiences you have had while working for them. 

A warm resignation letter also ensures that you are able to maintain a positive relationship with your former place of work just in case you wish to work with them again. 

Example letter:

Working at Easy Days has been a rewarding experience and I have enjoyed my time working with you. I learned a great deal about working successfully with a team. It was an honour to work with such dedicated staff who made Easy Days a place to receive compassionate care. I thank you for the training and opportunity to grow with you in my nursing career. Transition details

To maintain your professional attitude at work, you should include what you will be doing to help ease the transition of roles with your successor during the notice period as well as contact information. 

Example:

The body of the letter that states the reason for resignation in a detailed manner, which is not really required, but you can choose to do so as in the letter if you are comfortable with it.

The letter also mentions the terms and conditions of the contract the employee might have signed that covers issues related to sudden departures and compensations.
